Information We Collect
When you inquire about our programs, enroll a student, or contact us, we may collect: parent or guardian name, email address, and phone number; student name, grade level, and school; emergency contact information (name, relationship, and phone number); medical information relevant to program participation including allergies, current medications, and conditions you choose to disclose; payment information processed securely through Stripe (we do not store card numbers); photo and video release preferences selected at enrollment; and any information included in messages or forms submitted through our website.
Our website automatically collects standard technical information such as IP address, device type, browser type, pages visited, and general geographic region through the analytics services described below. This information is used to understand how our site is used and to improve the experience for visitors.
How We Use Your Information
We use information collected to confirm enrollment and deliver program logistics; process payments; respond to emergencies using your emergency contact and medical information; honor the photo and video release tier you selected; send program-related communications and, with your consent, updates about upcoming enrollment openings; measure website performance and advertising effectiveness; and comply with applicable law including mandatory reporting obligations under Georgia law (O.C.G.A. § 19-7-5). We do not use student information for advertising, profiling, or any purpose unrelated to delivering our coaching programs.
Analytics and Advertising Technologies
We use the following third-party technologies on our website:
Vercel Analytics — cookieless, anonymized page view and performance tracking built into our hosting platform. No personally identifiable information is transmitted, no cookies are set, and no consent is required for this service under applicable privacy frameworks.
Google Ads Conversion Tracking (tag ID AW-18177518973) — records when a visitor completes an enrollment after clicking one of our Google Ads, so we can measure advertising effectiveness. This tag may set cookies associated with your Google account. It is loaded only after you accept cookies via our consent banner.
HubSpot Tracking Script — records page visits and form interactions to help us understand how families move through our site before enrolling. This data is stored in our HubSpot CRM account and associated with your contact record if you later submit a form. It is loaded only after you accept cookies via our consent banner.
You can withdraw consent at any time by clearing your browser cookies or re-visiting our cookie consent banner. You can also opt out of Google advertising cookies via Google's Ad Settings (g.co/adsettings). Declining or withdrawing cookie consent will not affect your ability to use any part of our website.
Photo and Video
We may photograph or film sessions and showcases for use on our website, social media, and marketing materials. At enrollment, you make two separate consent choices:
(1) Public photo and video consent (optional): You may grant Rhetrix permission to use photos or videos of your child on our website, social media, and marketing materials. This is opt-in — leaving the checkbox unchecked means no public use of your child's image.
(2) Private session recording (required): All sessions are recorded for a private recap video delivered exclusively to your family. This recording occurs regardless of your public media consent choice and is never shared publicly. You acknowledge and consent to this private recording at enrollment via a separate checkbox.
After enrollment, you may change your public media consent to a limited release (website and internal materials only, no social media) or request full removal of existing published content by visiting rhetrix.com/photo-opt-out. We strictly honor your selection.
Regardless of release tier, we will never post a student's full name alongside their image on public platforms, and we will never share student images with third parties for commercial advertising purposes.
Information Sharing and Service Providers
We do not sell, rent, or trade your personal information. We share information only as described below:
Stripe — processes all payments. Card data is handled entirely by Stripe and never stored on our servers.
HubSpot — our customer relationship management (CRM) platform. Enrollment records including parent name, email, phone, student name, grade, and cohort details are stored in HubSpot so we can manage communications with enrolled families.
Loops — our email communication platform. Parent name, email, and enrollment details are synced to Loops to deliver program updates, session reminders, and announcements.
Resend — our transactional email service. Used to send enrollment confirmations, admin notifications, and operational messages.
Google Workspace — used for internal communications and document storage.
Vercel — hosts our website. Vercel may process request data including IP addresses as part of serving our site.
We also share information when required by law, including mandatory reports of suspected child abuse or neglect under O.C.G.A. § 19-7-5, and with emergency responders when a student's safety requires it.
Medical and Sensitive Information
Medical information you provide at enrollment (allergies, medications, health conditions) is used solely to protect your child's safety during program participation. This information is accessible only to the Rhetrix program director and is not shared with third-party marketing or advertising platforms. We retain medical information for the duration of a student's participation and for three years thereafter, after which it is deleted.
Data Retention
We retain enrollment records, waivers, and emergency contact forms for a minimum of three years after a student's last participation. Payment records are retained as required for tax compliance. Medical information is retained for three years after last participation and then deleted. You may request deletion of non-legally-required records at any time; we will respond within 30 days.
Your Rights
You have the right to review information we hold about your child, request corrections, request deletion of non-legally-required records, withdraw photo and video consent in writing at any time, and opt out of non-essential communications at any time. California residents may have additional rights under the California Consumer Privacy Act (CCPA). Contact us to exercise any of these rights and we will respond within 30 days.
Children's Privacy (COPPA)
Our programs serve students in grades 6 through 12, a population that includes children under the age of 13. We collect information from parents and guardians on behalf of enrolled students — not directly from children. We do not knowingly collect personal information directly from any child under 13. Enrollment requires a parent or guardian to submit all information and to affirmatively agree to our Participation Agreement. If you believe we have inadvertently collected information from a child under 13 without appropriate parental consent, please contact us immediately at support@rhetrix.com and we will promptly delete it.
Website Security
Rhetrix.com uses HTTPS encryption for all data in transit. Payment data is handled entirely by Stripe and never stored on our servers. Access to enrollment data in our CRM and email platforms is restricted to authorized Rhetrix personnel.
Data Breach Notification
In the event of a security breach that compromises your personal information, Rhetrix will notify affected individuals as required by Georgia law (O.C.G.A. § 10-1-912) — in the most expedient time possible and without unreasonable delay. Notification will be delivered by email to the address on file. Given that our programs serve minors and we collect sensitive medical information, we take this obligation seriously. For breaches involving sensitive categories of data (including medical information, financial information, or data belonging to children under 13), Rhetrix will also notify the relevant government authorities as required by applicable law.
Changes to This Policy
We may update this policy from time to time. Material changes will be communicated to enrolled families by email before taking effect. The current effective date appears at the top of this page.
