Safeguarding Policy

Rhetrix works with students in grades 6 through 12. The safety and wellbeing of every young person in our programs is our highest operational priority. This page describes our safeguarding commitments, the conduct standards we hold ourselves to, and what to do if you ever have a concern.

Safeguarding is not a compliance checkbox. Every student, parent, and school partner can expect these standards to be maintained at every session, without exception.

Our Commitments

Background Screening
The program director has completed a comprehensive background check through Checkr. The report returned a Clear status and covers an SSN trace, national criminal search, sex offender registry search, global watchlist screening across more than 50 databases including OFAC, INTERPOL, and the FBI, and county-level searches for Cherokee and Fulton counties in Georgia. Background checks are renewed annually. If a renewal is not completed by the due date, the program director will not deliver sessions until the renewed report is on file. If a substitute coach is ever needed due to illness or emergency, that individual is subject to the same background screening, insurance, and safeguarding standards as the primary director. Families will be notified in advance of any personnel change. A current certificate is on file and available to school administrators upon request.
Insurance
Rhetrix carries a Business Owner's Policy through The Hartford: $1,000,000 per occurrence / $2,000,000 general aggregate. The policy includes a Blanket Additional Insured By Contract endorsement. A current Certificate of Insurance naming the venue as an additional insured is on file with every venue partner and available to school administrators upon request.
Safe Physical Environment
All sessions are held in approved venues under written facility use agreements. Sessions are conducted in open, shared spaces — rooms with clear sight lines where activities are directly observable by venue staff or visiting parents. Sessions are never held in enclosed spaces, bathrooms, storage rooms, or spaces where a student would be hidden from view. One-on-one interactions between the program director and a student do not occur in closed or private spaces without a parent or another adult present. Private 1:1 coaching sessions (the sole exception) are held in open, observable spaces (in-person) or via video call (virtual), and require written parental consent and a signed coaching agreement before the first session.
Controlled Access
Students are not released to any adult not listed on their Emergency Contact Form without advance written authorization from a parent or guardian. Drop-off and pick-up windows are strictly enforced. Students are never left unsupervised at a venue.
Digital Safety
No student's full name is published alongside their image on any public platform. Photo and video use is governed by the tiered release form signed at enrollment. Students are never directed to communicate with Rhetrix staff through personal direct messaging platforms outside of parent-monitored channels.
Parental Transparency
Parents and guardians are always welcome to observe program sessions. Significant behavioral incidents or safety concerns will be communicated to a parent or guardian before pick-up whenever possible, and no later than the same day.
Emotional Safety Protocol
Rhetrix programs include vulnerability-based exercises that may surface strong emotional responses. If a student becomes significantly distressed — including a panic response or a personal disclosure that raises a wellbeing concern — Rhetrix will pause the activity, give the student supervised space away from the group, and attempt to contact a parent or guardian before continuing. Rhetrix will never push a student through a visible distress response. The incident will be communicated to a parent or guardian before pick-up whenever possible, and no later than the same day. Rhetrix does not provide mental health counseling; if a student's needs appear to exceed what the program can safely support, families will be advised to seek appropriate professional support.

Code of Conduct for Program Adults

Every adult involved in delivering Rhetrix programs agrees to:

Never engage in physical contact with a student beyond what is incidental and appropriate in a group coaching setting.

Never communicate with an enrolled student through personal social media or direct messaging without the parent's knowledge.

Never be alone with a single student in an enclosed private space.

Never use language that is sexual, demeaning, or designed to isolate a student from peers or family.

Never request that a student keep information from their parents.

Report any observed adult conduct that raises a safeguarding concern, regardless of that person's role or relationship to the program.

Violations of this code result in immediate removal from any program role.

Mandatory Reporting

Rhetrix LLC unconditionally commits to reporting all reasonable suspicions of child abuse or neglect to the Georgia Division of Family and Children Services and, where appropriate, to local law enforcement, consistent with the standards of O.C.G.A. § 19-7-5. If a student discloses abuse, if a student's behavior raises reasonable suspicion of abuse or neglect, or if any safeguarding concern arises during a session, Rhetrix will make that report.

This is an unconditional commitment. We will not delay a report to investigate further or seek consultation first. Consistent with O.C.G.A. § 19-7-5, reports will be made by the close of business on the same day the suspicion arises, or by the following business day if the suspicion arises after hours.

Note: This Safeguarding Policy describes operational commitments. It does not modify, waive, or supersede the liability limitations in the Participation Agreement. Parents should review both documents before enrollment.

If You Have a Concern

You do not need to be certain. You do not need to investigate first. If your child says something after a session that worries you, if you observe something concerning, or if a student discloses something to you, please report it.
